Selling in person doesn't have to mean juggling a cash register, a notebook and a calculator. Here's how to ring up sales, scan barcodes and track inventory with Archevo POS — even when you're offline.

Whether you run a store, a restaurant or a fashion boutique, in-person sales shouldn't take a flurry of paperwork. Archevo POS turns your phone or tablet into a full point-of-sale system: scan a barcode, add the item to the cart, take payment and send the receipt — all in one flow, and even when your internet connection drops. This guide walks you through every step of using Archevo POS, from turning the feature on to issuing your first refund.

1. Turn on Archevo POS in Your Dashboard

Archevo POS is a paid add-on that works alongside your Archevo store. In the merchant dashboard, open POS Settings and activate the feature. The 8% commission on POS sales is deducted automatically, so you always know exactly what you're earning. Once activated, the POS menu appears in your dashboard sidebar and you're ready to set up your first register.

2. Set Up Your Register and Terminal

Before your first sale, create a register (the cash drawer you use — for example "Main Counter" or "Weekend Stand") and link it to a terminal (the device or tablet running the POS). Give each staff member a role so that only trusted team members can issue refunds or close the register at the end of the day.

3. Start a Register Session

At the start of your shift, open Archevo POS and tap Open Register. Enter the cash you're starting the day with. This opening balance becomes the baseline for your end-of-day report, so every naira is accounted for. When you close the register, count the cash and enter the actual amount — Archevo shows the difference automatically.

4. Add Products to the Cart

There are three ways to add a product during checkout:

  • Scan a barcode — tap the yellow Scan button and point the camera at the barcode. The item is added instantly, and the scanner stays active so you can keep scanning. In poor light, tap the flash icon to turn on the torch.
  • Type a code — if a barcode is damaged or a product has no barcode, tap "Type code" and enter the SKU manually. This also works with a USB or Bluetooth wedge scanner.
  • Browse and search — search by name or filter by category from the Products tab, then tap a product to add it to the cart.

5. Adjust the Cart Before Checkout

Once items are in the cart, you can change quantities, remove lines, or apply a discount to the whole order. The cart won't let you sell more than the available stock of a tracked product, so you never oversell what you don't have. You can also attach the sale to a customer from your CRM — every sale builds their purchase history automatically.

6. Take Payment — Even Offline

Tap Checkout and choose the payment method: cash, bank transfer, card or Archevo. The total updates instantly, and change is calculated for cash payments. If the internet drops mid-transaction, don't worry — Archevo POS works offline. Offline sales are queued and synced automatically the moment you're back online, so a network hiccup never stops a sale. Note that cash is the only payment method accepted while offline.

7. Send the Receipt

After payment, the receipt screen appears. You can share it with the customer by text or WhatsApp, or print it if you have a receipt printer connected. Every receipt is stored in the system, so both you and the customer can look it up later.

8. Review Sales and Issue Refunds

Open the Sales tab to see today's transactions, total sales and average order value. Filter by status or payment method to answer questions like "how many card sales did I make today?" If a customer returns an item, open the sale and tap Refund — stock is returned to inventory automatically and the customer's history stays accurate.

9. Track Stock as You Sell

Because inventory is built into the same system, every sale reduces stock in real time — no end-of-day stock count needed. Low-stock alerts tell you what to reorder before a customer asks for something you don't have. You can also scan new deliveries in as they arrive, so your stock levels are always accurate.

10. Close the Register and Check Your Numbers

At the end of your shift, close the register, enter the actual cash count and let Archevo reconcile it against the opening balance and recorded sales. The daily summary shows sales, refunds, discounts and cash discrepancies in one view — ready for your records or your accountant.
